SpliceHub ("we", "us", "our") is a sole tradership based in the United Kingdom and is the data controller for the personal information collected through this website and membership service. We are committed to protecting your privacy in compliance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018. Please read this policy carefully.
1. Who We Are
SpliceHub is operated as a sole tradership in the United Kingdom. Our contact address for all data protection matters is: info@splicehub.co.uk.
Where required by law, we are registered with the Information Commissioner's Office (ICO) as a data controller.
2. Information We Collect
Account & identity data: full name, email address, UK postcode, and a hashed password (we never store passwords in plaintext).
Business data (Business accounts only): business name, registered address, telephone number, website, business sector, UK SIC codes, and goods/services registered.
Payment data: for Individuals, payments are processed by Stripe. We do not store card numbers or full payment details. We retain transaction references and subscription status. For Businesses, bank transfer records are held for statutory accounting purposes.
Complaint data: text describing a membership-related complaint and any images voluntarily uploaded as evidence.
Usage & technical data: session tokens, IP address, and browser/device information for security and fraud-prevention purposes.
3. How We Use Your Information
Performance of a contract: to create and manage your account, process membership payments, provide membership proofs and promo codes, and facilitate the discount service.
Legitimate interests: to prevent fraud and abuse (including cooldown enforcement and complaint adjudication), to maintain platform security, and to improve our service.
Legal obligation: to retain financial and accounting records for the period required under UK law (currently six years from the end of the relevant financial year).
4. Data Sharing
We do not sell, rent, or trade your personal data. We share data only where necessary:
Stripe, Inc. — payment processing for Individual subscriptions (subject to Stripe's own Privacy Policy at stripe.com/gb/privacy).
SMTP / email delivery provider — to send transactional emails (account verification, password reset, notifications).
Law enforcement or regulatory bodies — where we are legally required to disclose information.
We require all third-party processors to process your data only on our instructions and in accordance with UK GDPR.
5. Data Retention
Account data is retained for as long as your account is active. After account closure, we retain data for up to seven (7) years to satisfy our legal and accounting obligations.
Complaint images are deleted as soon as the relevant complaint is fully resolved by our team. Complaint text is retained indefinitely as a moderation record.
Promo code records are automatically purged upon expiry.
Note: account deletion may be temporarily prohibited while a cancellation or disciplinary cooldown is active. You will be notified of this within the platform.
6. Your Rights Under UK GDPR
You have the following rights regarding your personal data: (i) Right of access — to obtain a copy of the data we hold about you. (ii) Right to rectification — to correct inaccurate or incomplete data. (iii) Right to erasure — to request deletion of your data, subject to legal retention obligations and active cooldown restrictions. (iv) Right to restrict processing — to ask us to pause processing in certain circumstances. (v) Right to data portability — to receive your data in a structured, machine-readable format. (vi) Right to object — to object to processing based on legitimate interests.

7. Cookies
We use only strictly necessary session cookies to authenticate you and keep your session secure. We do not use tracking, analytics, or advertising cookies.
You may disable cookies in your browser settings, but doing so will prevent you from logging in to the service.
8. Children's Privacy
Our service is intended for users aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with their information, please contact us immediately at info@splicehub.co.uk.
9. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of material changes by email to the address associated with your account. The date at the top of this page indicates when the policy was last revised. Continued use of the service after changes are notified constitutes acceptance of the updated policy.
